Terms of Service

These Terms of Service ("Terms") govern your use of the TradeDocket and Grocery Tracker applications ("Service") operated by Scale Platforms Ltd ("we", "us", "our").

By creating an account or using the Service, you agree to these Terms.

1. Service Description

1.1 TradeDocket (Trade App)

A Progressive Web App for UK building contractors (plumbers, electricians, builders) to scan, categorise, and track business receipts for HMRC self-assessment tax returns.

1.2 Grocery Tracker (Grocery App)

A Progressive Web App for tracking household supermarket spending with budgeting features.

2. Account Registration

  • You must provide a valid email address to register.
  • You are responsible for maintaining the security of your account credentials.
  • You must notify us immediately of any unauthorised access to your account.
  • You must be at least 16 years old to use the Service.

3. Acceptable Use

You agree to:

  • Use the Service only for its intended purpose (receipt tracking and expense management).
  • Upload only genuine receipt images that you have the right to process.
  • Keep your account credentials secure.
  • Comply with all applicable UK laws and regulations.

You must not:

  • Upload illegal, harmful, or offensive content.
  • Attempt to access another user's data.
  • Reverse-engineer, decompile, or tamper with the Service.
  • Use automated tools to scrape or overload the Service.
  • Share your account with others.

4. Data and Content

4.1 Your Data

You retain ownership of all receipt images and data you upload. We process your data solely to provide the Service. See our Privacy Policy for details.

4.2 Data Accuracy

  • The Service uses AI-powered OCR to extract receipt data. While we strive for accuracy, extracted data may contain errors.
  • You are responsible for verifying the accuracy of extracted receipt data before using it for tax returns or financial records.
  • We do not guarantee the correctness of HMRC category assignments. Always consult a qualified accountant for tax advice.

4.3 Data Portability

You can export your receipt data at any time using the CSV export feature.

5. Subscription and Payment

5.1 Free Tier

We may offer a free tier with limited features. Specific limits will be communicated in the app.

5.2 Paid Plans

  • Paid subscription plans are managed through Stripe.
  • Prices are displayed in GBP and inclusive of VAT where applicable.
  • Subscriptions renew automatically unless cancelled before the renewal date.

5.3 Refunds

Under the UK Consumer Contracts Regulations 2013, you have a 14-day cooling-off period from the date of purchase. To request a refund within this period, contact support@scaleplatforms.co.uk.

Refunds requested after 14 days are handled on a case-by-case basis. Refunds are processed to your original payment method and typically appear within 5-10 business days.

6. Service Availability

  • We aim to keep the Service available 24/7 but do not guarantee uninterrupted access.
  • We may perform scheduled maintenance with reasonable notice.
  • We are not liable for downtime caused by third-party providers (Azure, Auth0, etc.) or circumstances beyond our control.

7. Intellectual Property

  • The Service (including its design, code, and branding) is owned by Scale Platforms Ltd and protected by copyright and intellectual property laws.
  • "TradeDocket" and "Grocery Tracker" are trademarks of Scale Platforms Ltd.
  • You are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended purpose.

8. Limitation of Liability

To the maximum extent permitted by UK law:

  • The Service is provided "as is" without warranties of any kind, express or implied.
  • We are not liable for indirect, incidental, or consequential damages arising from your use of the Service.
  • Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.
  • We are not liable for errors in AI-generated categorisation or OCR extraction.
  • We are not a substitute for professional accounting or tax advice.

Nothing in these Terms limits our liability for death, personal injury caused by negligence, fraud, or any liability that cannot be excluded by UK law.

9. Account Termination

9.1 By You

You may close your account at any time by contacting support@scaleplatforms.co.uk. Upon closure:

  • Your data will be retained for 30 days (in case you change your mind), then permanently deleted.
  • Active subscriptions will be cancelled with no further charges.

9.2 By Us

We may suspend or terminate your account if you:

  • Violate these Terms.
  • Engage in fraudulent or illegal activity.
  • Abuse the Service or its infrastructure.

We will provide reasonable notice before termination unless immediate action is required for security reasons.

10. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated via email or in-app notification at least 14 days before taking effect. Continued use of the Service after changes constitutes acceptance of the updated Terms.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
